1. Agreement to Terms

By accessing or using Invoice Vault ("the Service"), you agree to be bound by these Terms & Conditions ("Terms"). If you do not agree to these Terms, you may not access or use the Service.

2. Description of Service

Invoice Vault is an AI-powered invoice management platform that connects to your email accounts to automatically discover, extract, and organize invoice data. The Service includes email scanning, AI-based data extraction, vendor management, analytics, and team collaboration features.

3. Account Registration

To use the Service, you must create an account by providing a valid email address. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use.

If you register as an accounting firm, you are responsible for ensuring that all team members comply with these Terms and that client data is handled in accordance with applicable professional standards.

4. Email Access & Data Processing

By connecting your email account, you grant Invoice Vault read-only access to your email messages for the sole purpose of identifying and extracting invoice-related content. We do not modify, delete, or send emails on your behalf. You may revoke email access at any time through your account settings.

Our AI processes email content to identify invoices and extract relevant data such as vendor names, amounts, dates, and line items. Extracted data is stored securely and associated with your account.

Invoice Vault may store extracted invoice files (PDFs) in your Google Drive, organized in a dedicated folder structure. You retain full ownership of all files stored in your Google Drive. You may disconnect Google Drive access or delete stored files at any time.

Your use of Google services through Invoice Vault is subject to Google's Terms of Service. Our access to Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

5. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws
  • Attempt to gain unauthorized access to the Service or its related systems
  • Interfere with or disrupt the Service or servers connected to it
  • Reverse engineer, decompile, or disassemble any part of the Service
  • Use the Service to process data you do not have the right to process
  • Share account credentials with unauthorized third parties

6. Intellectual Property

The Service, including its original content, features, and functionality, is owned by Invoice Vault and is protected by international copyright, trademark, and other intellectual property laws. You retain ownership of all data you provide to the Service.

7. Billing & Subscriptions

Certain features of the Service may require a paid subscription. Billing is handled through our payment processor, Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis. You may cancel your subscription at any time; access will continue until the end of the current billing period.

8. Data Retention

We retain your account data and extracted invoice information for as long as your account is active. Upon account deletion, we will remove your data within 30 days, except where retention is required by law. You may request data export at any time.

9. Limitation of Liability

To the maximum extent permitted by law, Invoice Vault shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising out of or related to your use of the Service.

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not guarantee the accuracy of AI-extracted invoice data and recommend you verify important financial information.

10. Termination

We reserve the right to terminate or suspend your account and access to the Service at our sole discretion, without notice, for conduct that we believe violates these Terms or is harmful to other users, us, or third parties. You may terminate your account at any time through your account settings.

11. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms on the Service and updating the "Last updated" date. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the European Union and the applicable laws of the jurisdiction in which Invoice Vault operates, without regard to conflict of law provisions.
